Zoom Rooms: Set Up Instructions

Turn on the keyboard (1), mouse (2), hanging TV (3), and cart TV (4)
Turn on the projector
The computer and microphone/speaker should already be turned on and on standby
If they are not turned on, please contact the AV/IT Team for assistance
To use the tablet, begin by pressing the button directly above the charging cable
This will activate the tablet
To open the tablet once activated, simply swipe up from the bottom of the screen
If the tablet is unable to connect to the internet (e.g. the WiFi is out), you can start the Zoom Rooms controller by:
Opening a browser on the computer in the room (which is displaying on the TVs)
Visiting Zoom.us
Clicking Room Management
Clicking on Launch Controller for the room you are in
We have enabled an "auto-start" feature for meetings, meaning that Zoom Rooms should automatically begin the scheduled class meetings, but if they do not, please see the instructions on starting a meeting by clicking here

While we have enabled an "auto-start" feature for meetings, meaning that Zoom Rooms should automatically begin the scheduled class meetings, they will NOT automatically end meetings (as classes often run late or end early.)
Turn off the projector (this will require pressing the power button twice - once to initialize the power sequence, and once to confirm turning off the projector)
Turn off the keyboard (1), mouse (2), hanging TV (3), and cart TV (4)
The computer, Nureva Microphone/Speaker, and tablet remain on and on standby
Please do not attempt to turn off the computer, Nureva Microphone/Speaker, or tablet, these should stay turned on in order to remain ready for the next class or meeting, even if your class is the last one of the day
If you accidentally turn them off, please contact the AV/IT Team for assistance
Zoom Rooms: Equipment Functions
Amazon Fire Tablet
This tablet will run the Zoom Rooms controller and full instructions on its use can be found by clicking here
It is attached to the cart by a security cable
If the power cord has come unplugged, please plug it back in
If the tablet is unable to connect to the internet (e.g. the WiFi is out), you can start the Zoom Rooms controller by:

This webcam is pointed toward the podium and lecturer
It has an autofocus feature and can be turned off using the Stop Camera button on the Zoom Rooms controller
Please do not try to adjust the direction of this camera
If you would like to point a camera at a different part of the room, please contact the AV/IT Team for assistance in advance
Please do not press on the "Switch Camera" or "Camera Control" buttons on the Zoom Rooms controller
Computer, Keyboard, and Mouse
The computer that runs Zoom Rooms is housed in the black box next to the projector screen
The mouse and keyboard are connected to this computer and need to be turned on/off before/after class
The display of this computer is mirrored between the hanging TV and the cart TV, meaning that if you can see something while presenting, so can the students in your classroom
The display of this computer is extended to the projector, where any shared content will appear for the students in your classroom
The students online will see shared content as they normally would on Zoom
Hanging TV and Cart TV
These two TVs are set up to display the same content as one another and can display the gallery or speaker view
If either TV loads a display selection screen, please choose the option HD 1
The purpose of these TVs is to enable both you and your students to see the online participants while in class
Please note that the tablet is attached to the cart by a security cable
Nureva Microphone/Speaker
This wall-mounted microphone/speaker remains on and will pick up the full class and remains on before and after class, even if your class is the last one of the day
Projector
The projector will show the content of the extended display of the computer, allowing students within the classroom to see any content or shared screens through Zoom
Using the Projector
1. Press the power button on the bottom of the projector to turn it on. The remote is currently broken. To turn on the projector, find its remote (NEC RD-469E) on the AV box and point it toward the projector. Then press ON.
2. The projector will beep, and after a few seconds its power button will turn blue.
Note: When the projector turns on, you may see the following message: HDMI | No Input. Check the input terminal. Please ignore this and proceed to the next step.
3. Plug your computer into the AV box's VGA or HDMI port. (Need a cable or adapter? See the note at the end of this section.)
The box's input panel should automatically select the correct source. (The indicator light will turn blue for HDMI, or red for VGA.)
If necessary, press the Input Select button to manually switch between an HDMI or VGA connection.
4. Your screen should now be visible on the projector. If it isn't, open your computer's display settings to mirror or extend your display.

Windows 10 users: press Windows Key + P to mirror (i.e. "duplicate") or extend your display. Click here for instructions.

5. Remember to turn off the projector when you're done!
Press STANDBY on the remote to turn it off. A confirmation request will appear on the screen. Press STANDBY again to confirm.
Finding Cables & Display Adapters
There should be one VGA and HDMI cable underneath (or already plugged into) the AV box.
If you need a display adapter, please ask for one at Reception. If Reception is closed, please ask Facilities instead.
If you’re using a VGA cable and need sound, plug a 3.5mm audio cable from your computer into the AV box's AUDIO IN jack. The VGA cable under the AV box should have audio cable attachments at each end (see Fig 1):
Using the Sound System
1. Connect your device to the AV box's input panel with either an HDMI cable, or a 3.5mm audio cable.
2. Turn on the sound amplifier (Factor X-530) in the AV box.
Set the AUX dial to about 80%.
Set the MASTER dial to about 50% (we'll turn it up more after the next step).
3. Start playing audio on your device.
Set your device's volume to about 90%.
If your media player app has its own volume control, set that to about 90% as well.
4. Turn up the MASTER dial on the amplifier to hear the audio through the ceiling speakers.
There are no speakers at the front, so you'll need to stand at the centre of the room to test the volume level.
Using the Blu-Ray Player
1. Press the power button on the bottom of the projector to turn it on. The remote is currently broken. To turn on the projector, find its remote (NEC RD-469E) on the AV box and point it toward the projector. Then press ON.

3. Find the Blu-Ray player remote. It should be located on top of the black box.
4. Plug the Blu-Ray player's HDMI cable into the HDMI port on AV box's white input panel.
The box's input panel should automatically select the correct source. (The indicator light will turn blue for HDMI, or red for VGA.)
If the red light is displayed, press the Input Select button to manually select the HDMI source.
5. Turn on the sound amplifier (Factor X-530) in the AV box.
Set the AUX dial to about 80%.
Set the MASTER dial to about 50% (we'll turn it up after the next step).
6. Turn on the Blu-Ray player and insert your disc. Press play on the Blu-Ray remote to start the movie.
7. Turn up the MASTER dial on the amplifier to hear the audio through the ceiling speakers.
There are no speakers at the front, so you'll need to stand at the centre of the room to test the volume level.
8. Remember to turn off the projector when you're done!
Press STANDBY on the remote to turn it off. A confirmation request will appear on the screen. Press STANDBY again to confirm.
Troubleshooting
If the projector remote isn't working:
Remember to point the remote at the projector, not at the AV box.
If there is still no response, the batteries may need to be replaced. There should be extra AAA batteries at Reception.
If the remote still doesn't work, then manually press the blue button at the bottom of the projector to turn it on.
If your computer screen isn't appearing on the projector:
Check if light on the projector's power button is blue. If it's red (or off), the projector needs to be powered on.
Make sure that the projector's input source is set to HDMI1 even if you're connected via a VGA cable.
Press the SOURCE button on the remote to check the input source.
Check if your computer's display settings are set to "Mirror" or "Extend" your display. If "Extend" is enabled, try moving the mouse cursor off to the left or right of your screen until it appears on the projector. If this doesn't work, try the "Mirror" option instead.
Check that you have the correct display adapter. If you don't, please ask for one from Reception (during office hours), Facilities (after office hours), or the IT Help Desk (ext. 372 / [email protected]).
If the sound isn't working:
Try increasing the master volume on your computer.
If you're using a VGA cable, plug a 3.5mm audio cable from your computer into the AV box's AUDIO IN headphone jack. (There should be audio cable plugs at both ends of the VGA cable.)
If you're using a MacBook with a Mini-DisplayPort > HDMI adapter and there's still no sound, try using a 3.5mm audio cable to connect your computer to the AV box.
In certain older MacBooks, the Mini-DisplayPort cannot transmit sound. Click here to view a list of those models.
Try adjusting the AUX and Master volume dials on the amplifier in the AV box.
Make sure that the sound cable on the projector is plugged into the AUDIO OUT jack. This will ensure that the sound can be played over the classroom speakers (see Fig. 2 below).
